Lead tracking and CRM follow-up

Know Where Every Lead Comes From, and Follow Up on Every One

Marketing decisions are only as good as the data behind them. We set up call tracking, conversion tracking and a simple CRM pipeline, so every enquiry is captured, followed up quickly and connected to the job it became.

Why it matters

The Leaks Nobody Sees

A missed call while the crew is on a roof. A voicemail returned the next day. A quote sent and never chased. A lead that came from Google but was logged as a referral. None of these appear in an ads dashboard, but together they decide what your marketing is really worth.

Tracking shows you where enquiries come from and which ones become work. Follow-up makes sure the good ones don’t go cold. Put together, they let you make marketing decisions on evidence, and often recover jobs you were already paying to generate.

What’s included

What We Set Up

Call Tracking

Tracking numbers by channel so every call is attributed to its source. Call recording is optional, with the disclosures your state requires.

Analytics and Conversion Tracking

Google Analytics 4 and ad platform conversions set up for calls, forms and key actions, without sending personal details to analytics.

Lead Quality Tagging

A quick way to mark each enquiry as qualified, unqualified or spam, so reports reflect real opportunities.

CRM Pipeline Setup

Clear stages, owners and reminders in a CRM that suits your team. We work with the one you already use where we can.

Speed-to-Lead Alerts

Instant notifications to the right person when a new enquiry arrives, by email, app or text.

Quote Follow-Up

Automated, friendly reminders for quotes that haven’t been answered, sent only to customers who agreed to hear from you.

Missed enquiry estimator

What Is a Missed Enquiry Worth?

Use your own numbers. The result is the revenue tied up in enquiries that slip through, which is exactly what tracking and follow-up are designed to protect.

Calls, forms and messages combined.
Your best guess: unanswered calls, voicemails not returned, forms seen the next day.

Revenue at stake each year

$172,800

Enquiries slipping through per month6
Jobs those enquiries could become1.8
Revenue at stake per month$14,400

A rough estimate from your own numbers, not a forecast or a promise. How much of this can be recovered depends on why enquiries are being missed. That is one of the first things we look at on a strategy call.

Reporting

What Your Monthly Report Shows

  • Enquiries by source, service and location
  • Qualified lead rate, so volume never hides quality
  • Cost per qualified lead by channel
  • Booked jobs and revenue by channel, when you share job outcomes
  • Response times and follow-up activity
  • What we’re changing next month, and why

Part of the system

Where Tracking and Follow-Up Fit

Tracking and follow-up cover the Capture, Follow-Up and Measurement stages. Without them, it’s impossible to tell which marketing works, and enquiries leak between the click and the quote.

Getting started

What We Need From You

  • Access to your ad accounts, analytics and website
  • Your current CRM or job management tool, if you use one
  • Agreement on what counts as a qualified lead for your business
  • Someone on your team who updates lead status (we make it quick)

Honest limits

What Tracking Can’t Do

  • No tracking is perfect.Privacy settings, consent choices and offline word of mouth mean some enquiries can’t be attributed.
  • Data depends on habits.Reports are only as accurate as the lead statuses your team records.
  • It informs decisions; it doesn’t make them.We use it to recommend changes, and you stay in control.

FAQ

Tracking and CRM Questions, Answered

What counts as a qualified lead?

We agree on a definition with you, usually a homeowner in your service area asking about a service you offer, with a realistic budget and timeline. Spam, job seekers, sales calls and out-of-area requests are excluded, so cost per qualified lead reflects real opportunities.

Which CRM do you use?

We prefer to work with the CRM or job management software you already use, as long as it can record lead source and status. If you don’t have one, we’ll recommend an option that fits the size of your team and budget.

Do I really need call tracking?

For most home service businesses, phone calls are the main way enquiries arrive. Without call tracking, those enquiries can’t be connected to the marketing that produced them, so you would be judging your channels on partial data.

Is call recording legal?

Recording rules differ by state, and some states require every party to consent. Recording is optional; if you turn it on, we set up the appropriate disclosure message, and we recommend confirming your obligations with your legal advisor.
